What is PDF Flattening?
Flattening a PDF converts all interactive form fields (text boxes, checkboxes, dropdowns, signatures) into static, non-editable content. The filled-in values become permanent text embedded in the PDF — just like printing a form and scanning it, but without the quality loss.
When to Flatten a PDF
- Sending finalized forms — Flatten LTB forms (N1, N4, N12) before serving to tenants so values can't be modified
- Filing documents — Some courts and boards prefer or require non-editable PDFs
- Archiving records — Ensure lease agreements and notices are permanently locked
- Creating blank templates — Clear all field values first, then flatten to get a clean non-fillable template
- Fixing display issues — Some PDF viewers don't render form fields correctly; flattening ensures consistent display
Common Ontario Landlord Forms
Ontario landlords frequently need to flatten official Landlord and Tenant Board (LTB) forms after filling them out:
- N1 — Notice of Rent Increase
- N4 — Notice to End Tenancy for Non-payment of Rent
- N5 — Notice to End Tenancy for Interference
- N8 — Notice to End Tenancy (Persistent Late Payment)
- N12 — Notice to End Tenancy (Landlord's Own Use)
- Ontario Standard Lease (Form 2229E)
